Four Rules For Keeping Electronic Notarial Records

Four Rules For Keeping Electronic Notarial Records

National Notary Association, February 15, 2008

Yes, we know the point of this blog is to highlight interesting stories from THIS week, however this one from mid-February is too good to ignore. The National Notary Association staff highlights four specific rules to follow when retaining both paper and electronic notarial records.

  • 1. Whether it’s electronic or paper, always follow best practices and state laws.
  • 2. If used, an electronic journal must be protected against tampering and unauthorized access.
  • 3. When recordkeeping, Notaries should select one method and not alternate entries between a paper and electronic journal.
  • 4. State law should not force a Notary to use an electronic journal.

For details about these suggested best practices, check out the article and see where you stand. Of course, if you have any best practices of your own that you’d like to share with the community, please let us know. We’d love to hear your thoughts!
